REPORTING RELATIONSHIP: Field Services Manager/Supervisor  

ESSENTIAL DUTIES: The Probation Program Assistant (Field Services Unit) performs a variety of secretarial and support activities for the Field Services Unit. Initiative and independent judgment are exercised within a broad range of ongoing tasks and initiatives.     


  • Performs sensitive and confidential functions such as composing, proofreading, and editing correspondence and documents.
  • Distributes memos, letters, faxes, and forms.
  • Develops, organizes, and maintains databases and filing systems.
  • Operates personal computer and utilizes programs such as Microsoft Office and various databases.
  • Manages timekeeping and scheduling for field staff.
  • Answers and directs phone calls, takes messages, and follow-ups with staff.
  • Coordinates travel arrangements and logistics for field staff.
  • Assists the field staff with Annual Probation Plans, reviews, reports, protocols, standards, and policies.
  • Works as a liaison in conjunction with the other Probation Service Division units.
  • Schedules and coordinates meetings including creating and updating materials, space, and, if applicable, catering needs.
  • Organizes and schedules meetings/appointments and reminds staff of important tasks and deadlines.
  • Assists in researching, creating, preparing and distributing reports, presentations, and projects.
  • Performs other duties as assigned.

SELECTION FACTORS:  Candidates must possess excellent verbal and written communication skills; the ability to associate with colleagues and stakeholders in a professional, pleasant, courteous, and helpful manner; ability to plan, organize, implement, and maintain a variety of functions and projects simultaneously and meet required deadlines and schedules; ability to use initiative and work independently to complete assignments and respond to change productively.  This candidate must possess a working knowledge and experience with standard office equipment (fax, copier, scanner, etc.) and personal computer applications (Microsoft Office Suite, Internet Explorer, etc.).  


Minimum:  A minimum of four (4) years of office experience performing secretarial services and assistance to a manager with strong attention to detail.  Applicant should possess an associate's degree in business or a related field.

Preferred:  A bachelor's degree from an accredited university or college is preferred.  Knowledge and understanding of Illinois judicial branch structure and functions is desirable, but not required.   

PHYSICAL REQUIREMENTS:  This position requires the ability to sit for extended periods of time. Applicant must have the ability file and retrieve files accurately.  This is a professional office working environment requiring telephone usage and the ability to process written documents.  Applicant must possess a valid Illinois driver's license and demonstrate proof of automobile insurance to operate a personal vehicle on state business, as well as maintain a safe driving record.
