SALARY: $38,342

REPORTING RELATIONSHIP: Assistant Director, Administrative Services Division  

ESSENTIAL DUTIES:  The Administrative Assistant provides administrative and program assistance to the Assistant Director and personnel within the Administrative Services Division. Responsibilities include: handling sensitive and confidential information; overseeing various purchasing responsibilities, including the preparation of purchase requisitions and invoice vouchers; preparing travel accommodations, travel vouchers and travel cost comparisons for various judicial personnel; data entry used in the creation, management and verification of various types of Excel spreadsheets and Access databases; maintaining division attendance records and leave requests; and answering division's multi-line telephones. This position also serves as the custodian for the Supreme Court and Administrative Office Petty Cash Funds. Initiative, attention to detail and independent judgment are exercised within a broad range of ongoing tasks and new initiatives.

SELECTION FACTORS: Skill in composition, records management and report preparation; excellent organizational, analytical, interpersonal and communication skills; strong knowledge and experience with personal computer applications (i.e. Word, Access, and Excel) and graphical illustrations; ability to use initiative and work independently to complete assignments; ability to make decisions on established policies/standards; ability to communicate effectively, verbally and in writing; ability to plan, organize, implement, and maintain a variety of functions and projects simultaneously and meet required deadlines and schedules; associates with employees and the public in a pleasant, courteous and helpful manner; responds to change productively.

EXPERIENCE AND EDUCATION REQUIREMENTS: A minimum of four years office experience performing high level administrative responsibilities for a manager or supervisor. An Associate's degree in business administration or a related area is required. An additional two years office experience may be substituted for the degree. Knowledge and understanding of Illinois judicial branch structure and functions is desirable, but not required.

PHYSICAL REQUIREMENTS: Ability to sit for extended time periods. Ability to retrieve files. This is a professional office working environment requiring telephone usage and the ability to process written documents.
