||Field Services Supervisor
ESSENTIAL DUTIES: The Administrative Assistant 3 position performs a variety of secretarial and office management duties for the Probation Services Division. Initiative and independent judgment are exercised within a broad frame work of existing policies. Work is evaluated by the immediate supervisor through conferences, personal observations, and review of completed projects.
Functions include: Performs sensitive/confidential secretarial functions for supervisor and/or other professional staff; operates personal computer (i.e. word processing, spreadsheet, or database applications) to type correspondence involving matters of policy, meeting minutes, reports, tabulations, and other materials; sustains and updates databases for various reports and programs; organizes and maintains office records and paper/electronic filing systems; photocopies material, makes travel arrangements, orders supplies, and processes purchase requisitions and invoice/travel vouchers; schedules and coordinates materials, space and catering needs for meetings for designated staff; may conduct special projects and studies by gathering data, coordinating, monitoring, and completing assigned projects and other duties as assigned.
EXPERIENCE, EDUCATION AND TRAINING REQUIREMENTS: A minimum of three years of office experience is required. An Associate's degree in secretarial science or a related area is preferred. Knowledge and understanding of Illinois judicial branch structure and functions is desirable, but not required.
PHYSICAL REQUIREMENTS: Ability to sit for extended time periods. Ability to retrieve files. This is a professional office working environment requiring telephone usage and ability to process written documents.
