Salary: $32,086 per year

ESSENTIAL DUTIES: The Probation Program Assistant assists in the entry and accuracy of Illinois probation related data.


  • Combine data from multiple systems and enter information using an established procedure.
  • Verify entered data (including reviewing, correcting, and re-entering information).
  • Search for additional information for documents that are deemed incomplete.
  • Use available resources, as directed, including the internet, mail, and phone calls to collect information.
  • Skills to learn organization-specific and other computer application programs of data with strong attention to detail.
  • Address any outstanding work regularly.
  • Additional administrative duties as assigned.

SELECTION FACTORS: Candidate must possess excellent written, oral, and editing/proofreading skills. Have the ability to associate with colleagues and stakeholders in a professional, pleasant, courteous, and helpful manner. Can plan, organize, implement, and maintain a variety of functions and projects simultaneously and meet required deadlines and schedules. Has initiative, can work independently to complete assignments, and responds to change productively with minimal guidance once trained. Since this position requires extensive recording and monitoring of state probation data, the candidate must possess a working knowledge and experience with standard office equipment (e.g., scanner, copier, fax) and general personal computer applications (e.g., Microsoft/Google Office, IE/Chrome).


Minimum:  A minimum of one (1) year of data entry experience and performing secretarial services and assistance to a manager with strong attention to detail.  Applicant should possess an associate's degree in a computer science, secretarial science, or related field.

Preferred:  A bachelor's degree from an accredited university or college is preferred.  Knowledge of the Illinois judicial branch structure and functions, cognitive behavioral programming, grant writing, research methods, and a basic understanding of research-based computer programs (e.g., SPSS, EndNote) is highly desirable, but not required.

PHYSICAL REQUIREMENTS:  This position requires the ability to sit for extended periods of time. Applicant must have the ability to file and retrieve documents accurately.  This office is a professional working environment requiring telephone usage and the ability to process written documents.  Applicant must possess a valid Illinois driver's license and demonstrate proof of automobile insurance to operate a personal vehicle on state business, as well as maintain a safe driving record.
