The Office of Statewide Pretrial Services’ (OSPS or Office) mission is to assist in the administration of justice and promote community safety by ensuring fairness and equality in the pretrial process. The OSPS is a statewide office that provides pretrial services under the Pretrial Services Act, 725 ILCS 185. The Office develops pretrial standards and employs pretrial service officers who conduct pretrial investigations and provide pretrial supervision.

ESSENTIAL DUTIES: Under general supervision, the Pretrial Program Coordinator provides programmatic and administrative support to the Office of Statewide Pretrial Services. The required working hours for this position are 10:00 AM- 6:00 PM, Monday- Friday.

FUNCTIONS INCLUDE:

  • Provides administrative office support, including but not limited to, answering and returning phone calls, checking the shared email inboxes, greeting visitors, maintaining calendars, distributing mail, ordering supplies, and scheduling staff and other meetings.
  • Prepares and delivers written court reminders and other correspondence to pretrial clients.
  • Assists with criminal history checks by accessing LEADS and entering data on newly arrested defendants as needed.
  • Communicates with individuals on electronic monitoring regarding movement requests.
  • Processes electronic monitoring enrollment requests.
  • Assists with the drug testing and electronic monitoring inventory management, including ordering, tracking and delivery of equipment.
  • Assists in tracking OSPS property such as office equipment, computers, printers, monitors, phones and badges.
  • Prepares communications, such as letters, emails, memos, reports, and other correspondence.
  • Prepares purchase requisitions and invoices vouchers.
  • Makes travel arrangements and prepares, reviews and submits travel vouchers.
  • Performs other duties as assigned.

EDUCATION AND EXPERIENCE:

Minimum Qualifications:

  1. Associate’s Degree or two years of relevant professional experience.
  2. One year (in addition to education requirements) of progressively responsible clerical or programmatic experience in an office setting involving typing, filing, answering phones, and computer work.
  3. Ability to be LEADS certified.
  4. Excellent communication and interpersonal skills.
  5. Excellent organizational skills.
  6. Knowledge of general office practices and procedures.
  7. Ability to work independently and as part of a team.
  8. Proficiency in Microsoft Word, Excel.

Preferred Qualifications:

  1. A Bachelor’s Degree in Public Administration, Business Administration, Communications, or a related field.
  2. Three years of experience providing administrative support to a public or private organization.
  3. One year of experience working within community corrections or the criminal justice system.

PHYSICAL REQUIREMENTS:

  • Ability to sit for extended time periods.
  • Ability to travel, mostly within Illinois, including overnight stays, as required.
  • Requires a valid and current driver’s license.
